The way we approach time is that it’s a scarce resource that you need to hoard and protect.

Of course no one can buy time or reverse it, which is why they say there's no time like the present.

Understand that it's not a case of needing more time.

Here's my controversial take and yeah sure you may have heard of it before.

In my experience the "balance" everyone preaches is actually killing your potential.

While I talk about balancing interests and your time, the balance that others preach equates to the equal split of different things and applying the same methods.

Multi-passionate individuals don't balance their time; they strategically imbalance it, creating sessions of focus rather than spreading themselves thin across everything simultaneously.

It’s easy to try to give equal time to things, but a lot of passions need to be approached differently.

Your problem isn't having too many passions. It's having a single, outdated framework for how you allocate your time.

These are the typical frameworks I use to utilise time and get more done:

The 4 Ds

Do it (If it takes 2 minutes), defer it (schedule and revisit), delegate it (pass it on) and delete it (if it's not essential).

This can help you to identify the difference between tasks that should be done ASAP, done later or disregarded completely.

The 5-minute rule

If something takes less than 5 minutes, do it as soon as possible. This clears all the smaller tasks so you can put your time and focus into the more important tasks.

The small tasks can still matter, so why waste time putting them off or doing them when your energy is at its highest?

The Pomodoro Technique

Break down each task into 25 minutes with a short 5-10 minute break. After four intervals, take a longer break. A shorter focused session, where tasks can be completed in quick bursts.

This is for kicking that temptation to scroll and to stop cashing in the excuses to not get it done. It works because it can help you kickstart the lock-in.

The 90-minute focus

90 minutes of intense work, followed by a 15-30 minute break. A longer session aligned with the body’s natural rhythms of alternating high and low energy and focus.

This is for the ones that truly get it pushing, but it’s good to identify the overall aim by breaking it down into chunks during that time.

The 20/20/20

Every 20 minutes, focus on something 20 feet away for around 20 seconds. This helps reduce eye strain and reset focus for long periods of intensive work.

Paired up with the focused sessions, this is a must for maintaining a good amount of focus and reducing mental strain.

The 5/10 Rule

Intense and focused work for 50 minutes with a 10-minute break after. Do this in 2-4 intervals for deep work and productivity.

There's a lot of variety for you here for you, nothing right or wrong. Make it work for you by tailoring your energy and time to these intervals.

The 80/20 rule

Review and identify 20% of your tasks that contribute to 80% of your results. Prioritise these and look to allocate the most time towards the completion and success of these activities.

This helps you to hone in on the real result bringers aka the tasks that help you get growing.

Some passions thrive on consistency, small daily deposits.

Others require intense immersion, deep dives where you lose track of time completely.

Some feed off spontaneity and can't be scheduled at all.

I've tried all of them, and there is no correct way. I work with my chaos and sometimes I control elements of it.

The bottom line

Time is always of the essence. It’s something we have but we tend to not use it well. The key is to use blocks and work with what you have.

By now you should know there’s no need for aesthetic calendars or systems for show.

If it’s messy, it doesn’t matter. As long as it works and gets you results that’s all you need. I’m a big advocate for that.

Your challenge for this week: No need for the hours and hours of sessions…

  • Experiment with one of the frameworks above with your time.

  • Do you complicate tasks? How could you break them down?

  • Identify your peak energy levels and at your best, plan the longer sessions.

  • Use the 5-minute rule and 4 Ds for the smaller/admin tasks.

You might have come across some of these, but at times I find that switching between them based on my schedule and energy levels works.

Arabic reviews can still be done in a 25-minute block, whereas I might find that a course needs a 90-minute block allocated.

As I’ve been saying from day 1, it’s the 1% daily and small steps that get it working. You don’t want to burn out and fight for time because that’s how the excuses stack up.
